Terms of Service
Version: 2026.1 · Effective Date: 14 September 2026
Sponsor Licence Ready AI is an independent software-as-a-service platform developed to assist UK sponsor licence holders in managing their internal compliance records, tracking statutory reporting deadlines, and evaluating evidence against published UK Visas & Immigration (UKVI) guidance.
Not the Home Office: Sponsor Licence Ready AI is not affiliated with, endorsed by, or approved by the UK Home Office or UKVI. No software is endorsed by the Home Office.
Not Legal or Immigration Advice: The service does not provide immigration legal advice, legal representation, or formal determinations. Use of this software is not a substitute for advice from a qualified immigration solicitor or an adviser regulated by the Office of the Immigration Services Commissioner (OISC).
No Guarantee of Outcome: Sponsor compliance decisions remain the sole statutory responsibility of the customer's Authorising Officer. Use of this service does not guarantee that a licence application will be granted, that an audit visit will be passed, or that compliance action will not be taken by the Home Office.
1. Introduction & Service Provider
These Terms of Service (“Terms”) form a legally binding contract between Sponsor Licence Ready AI (“we”, “us”, “our”) and the business organisation or employer entity on whose behalf the service is accessed (“Customer”, “you”).
The platform is operated in the United Kingdom and accessible via sponsorlicenceready.co.uk. For inquiries or formal legal notices, contact support@sponsorlicenceready.co.uk.
2. Definitions
- “Authorised User”: An employee, contractor, Authorising Officer, or Level 1 User permitted by the Customer to access the workspace.
- “Customer Data”: All electronic data, worker profiles, immigration documents, Certificates of Sponsorship, employment contracts, and evidence uploaded by Customer to the platform.
- “DPA”: The Data Processing Agreement incorporated into these Terms governing personal data processing under UK GDPR.
- “Readiness Report”: An immutable, snapshot-backed assessment generated by the platform evaluating compliance posture at a specific point in time.
- “Sponsor Duties”: Statutory duties prescribed under the UK Immigration Rules, including Appendix D (record keeping), SMS reporting deadlines, and right-to-work verification.
3. Business Use Only
Sponsor Licence Ready AI is an enterprise B2B compliance software product designed exclusively for businesses, registered care providers, educational institutions, and organisations holding or applying for a UK Sponsor Licence. You represent and warrant that you are purchasing access for commercial or business purposes and not as an individual consumer.
4. Account Registration & Security
To access the platform, you must create an organisation workspace. The individual registering the workspace represents that they have authority to bind the Customer organisation. Customers are responsible for:
- Maintaining the confidentiality of account credentials.
- Enforcing appropriate internal role-based access controls among Authorised Users.
- Promptly notifying us of any suspected breach or unauthorized account access.
5. Customer Responsibilities
The Customer retains statutory responsibility for compliance with all UK immigration legislation. The Customer is responsible for:
- The accuracy, authenticity, and completeness of all data and documents uploaded to the platform.
- Submitting required statutory reports directly to the Home Office via the Sponsorship Management System (SMS) within prescribed deadlines. The platform tracks deadlines but does not directly file submissions on the SMS.
- Ensuring all right-to-work checks comply with current Home Office statutory codes of practice.
6. 14-Day Free Commercial Trial
New customer organisations are provided a 14-day free commercial trial starting immediately upon registration. The trial provides full operational access to platform features without requiring payment card details upfront.
Guaranteed Read-Only Preservation: If the Customer does not subscribe to a paid plan upon conclusion of the 14-day trial, the workspace automatically transitions to read-only status. Historical data, documents, and previously generated readiness reports remain safely preserved and accessible for export.
7. Subscription Plans & Billing
Access following the trial requires an active subscription under one of our canonical plans (Starter, Professional, or Multi-Site), billed on either a monthly or annual interval in Pounds Sterling (GBP).
- Payments: Payments are securely processed via Stripe. By providing payment details, you authorise recurring charges in accordance with your chosen billing interval.
- Automatic Renewal: Subscriptions renew automatically unless cancelled prior to the renewal date via the Customer Billing Portal.
- Price Adjustments: We reserve the right to modify subscription pricing upon at least 30 days' advance notice.
8. Cancellation & Termination
You may cancel your subscription at any time via the Stripe Customer Portal accessible in your workspace settings. Cancellation takes effect at the end of the current billing cycle. No refunds are provided for partial subscription periods.
Upon subscription cancellation or non-renewal, your workspace reverts to read-only mode, allowing continued export of compliance records. Account deletion may be requested in writing.
9. Acceptable Use & Prohibited Conduct
You agree not to:
- Upload fraudulent, falsified, or deliberately forged immigration documents.
- Upload files containing malicious software, viruses, trojans, or corrupted data.
- Reverse-engineer, decompile, or extract the source code of our deterministic regulatory engines.
- Exceed plan worker limits or bypass server-side entitlement checks.
- Resell, sublicense, or operate a commercial multi-tenant bureau without our prior written consent.
10. Customer Data & Data Protection
The Customer retains all ownership rights, title, and interest in and to Customer Data. We process Customer Data solely to provide the services in accordance with these Terms and our Data Processing Agreement.
Where Customer Data contains personal data of sponsored workers or key personnel, the Customer is the Data Controller and we act as the Data Processor pursuant to UK GDPR Article 28.
11. Service Availability & Maintenance
We strive for continuous service availability backed by automated cloud infrastructure, daily backups, and disaster recovery protections. Scheduled maintenance is conducted during off-peak hours where feasible. We do not guarantee uninterrupted or error-free operation.
12. Limitation of Liability
To the maximum extent permitted by applicable law:
- Neither party shall be liable for indirect, incidental, consequential, special, or punitive damages, or loss of profits, revenue, goodwill, or business opportunity.
- Our total aggregate liability arising under or related to these Terms, whether in contract, tort (including negligence), or otherwise, shall be strictly limited to the total fees paid by Customer to us in the twelve (12) months preceding the claim.
- Nothing in these Terms limits liability for fraud, fraudulent misrepresentation, or death/personal injury caused by negligence.
13. Governing Law & Jurisdiction
These Terms and any dispute or claim arising out of or in connection with them (including non-contractual disputes) shall be governed by and construed in accordance with the laws of England and Wales. The courts of England and Wales shall have exclusive jurisdiction.
